- Oversee the creation, maintenance, and updates to the hospital’s approved manual of medical record policies, procedures, abbreviations, and forms; coordinate review and approval processes for any changes.
- Lead, supervise, and support Health Information Management (HIM) staff, including transcriptionists and medical records personnel.
- Provide coaching, training, performance evaluations, and professional development to team members.
- Develop, implement, and monitor department goals, metrics, and workflows to ensure productivity, quality, and compliance standards are met.
- Partner with clinical and administrative leaders to enhance documentation quality, data integrity, and reporting accuracy.
- Manage transcription processes, ensuring timely and accurate clinical documentation.
- Evaluate and recommend technology solutions or process improvements to enhance transcription efficiency and reduce costs.
- Ensure strict compliance with privacy, confidentiality, HIPAA, and regulatory requirements for medical records, transcription, and release of information.
- Maintain accurate, complete, and timely patient medical records in compliance with federal, state, and accrediting body requirements.
- Oversee release-of-information processes, ensuring compliance with applicable regulations.
- Serve as a resource on documentation standards, policies, and best practices to support quality patient care and accurate reporting.
- Stay current on federal, state, payer, and industry regulations affecting HIM practices.
- Lead preparations for audits and accreditation reviews (e.g., Joint Commission, CMS).
- Educate and inform interdisciplinary teams on medical records policies, procedures, and compliance expectations.
- Monitor EMR integrity by identifying data entry errors, compiling reports, and recommending performance improvements.
- Develop and deliver HIM-related education and training programs for staff, managers, and physicians.
- Establish and maintain a formal review process for HIM compliance; conduct regular audits and monitor documentation adequacy.
- Prepare and present meaningful reports for internal and external stakeholders; serve as the subject matter expert for patient data analysis and modeling.
- Identify trends, inconsistencies, or variations in data capture and provide actionable recommendations to leadership.
- Perform other duties as assigned.
Qualifications
- Bachelor’s degree in Health Information Management or related field (required); Master’s degree preferred.
- RHIA preferred; other HIM certifications (e.g., RHIT, CHPS, CHDA) a plus.
- 5+ years in health information management or related healthcare field.
- 3+ years in a leadership or supervisory role.
- Experience with EMR/EHR systems, transcription, release of information, and regulatory compliance (HIPAA, Joint Commission, CMS).
- Strong leadership, coaching, and team development abilities.
- Excellent communication and collaboration skills with clinicians and administrators.
- Proficient in data analysis, reporting, and documentation standards.
- Solid understanding of medical terminology, coding systems, and HIM regulations.
