Job Description

The Executive Assistant will serve as the right hand to the Executive Team, ensuring seamless coordination of daily operations, managing confidential information, and overseeing key executive functions. This role requires impeccable discretion, proactive problem-solving, and a passion for hospitality. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment.

Key Responsibilities

Executive & Confidential Support:

  • Handle all sensitive information related to ownership, finances, and business operations with the highest level of confidentiality.
  • Act as the gatekeeper for critical communications, ensuring appropriate information flow to and from the Executive Chef & CEO.
  • Draft, review, and manage confidential documents, agreements, and correspondence.

Scheduling & Travel Coordination:

  • Manage complex calendars, ensuring seamless scheduling of meetings, calls, and engagements.
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
  • Coordinate reservations for high-profile dining experiences and industry events.

VIP & Hospitality Management:

  • Oversee and facilitate VIP reservations across all Unapologetic Foods restaurants.
  • Assist in organizing private dining events, ensuring personalized experiences for high-profile guests.
  • Serve as a liaison for high-net-worth individuals, media, and industry influencers to enhance guest experiences.

Event Coordination:

  • Field incoming event inquiries, vet opportunities, and coordinate internal responses.
  • Organize and manage logistics for external and internal events, from initial planning through execution.
  • Represent Unapologetic Foods at select events and activations to support executive visibility and brand growth.
  • Support in executing high-profile events hosted at Unapologetic Foods restaurants.
  • Maintain strong relationships with key partners, stakeholders, and vendors.
  • Provide logistical support for private events and VIP dining experiences.

Partnerships:

  • Field inbound partnership opportunities across media, brand, and culinary sectors.
  • Coordinate outreach, scheduling, and follow-ups with potential partners and collaborators.
  • Support in vetting opportunities and preparing briefing documents or talking points for leadership.
  • Assist in the execution and tracking of brand collaborations, sponsorships, and content partnerships.

​S ocial Media Support

  • Assist in capturing behind-the-scenes content during restaurant visits, events, or travel for internal and external use.
  • Help maintain consistency in the executive’s social media presence by flagging key moments, coordinating posts, and supporting special campaigns.

Qualifications & Skills:

  • 3+ years of experience as an Executive Assistant, preferably in the hospitality or luxury sector.
  • Exceptional organizational and time management skills.
  • Strong discretion and ability to handle confidential information with integrity.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize in a high-pressure environment.
  • Proficiency in Microsoft Office, Google Suite, and scheduling tools.
  • A deep understanding of hospitality is a plus.
