SUMMARY:

This position is responsible for providing high-level administrative support to the CEO and other executive team members, leveraging extensive life experience to manage complex tasks and ensure smooth operations.

DUTIES AND RESPONSIBILITIES:

  • Manages the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepares and edits correspondence, reports, and presentations with a high degree of accuracy and professionalism.
  • Coordinates and organizes executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Acts as a liaison between the executive team and internal/external stakeholders, ensuring effective communication and relationship management.
  • Handles confidential information with discretion and maintains the highest level of integrity.
  • Assists in the preparation of executive reports and presentations for meetings and other high-level engagements.
  • Manages special projects and initiatives as assigned by the CEO, ensuring timely and successful completion.
  • Provides administrative support for various departments as needed, demonstrating flexibility and adaptability.
  • Some personal assisting of light domestic duties.
  • Performs other related duties as assigned by management.

SUPERVISORY RESPONSIBILITIES:

  • This job has no supervisory responsibilities.

QUALIFICATIONS:

  • Associate's Degree (AA) or equivalent from a two-year college or technical school, or six months to one year related experience and/or training, or equivalent combination of education and experience. Bachelor’s Degree preferred.
  • Minimum of 5-10 years of experience in an executive assistant or similar role, with a demonstrated ability to handle complex administrative tasks.
  • Certificates, licenses and registrations required:
  • Driver’s License with clean driving record.
  • CAP, CEAP, PMP, or IAAP is appreciated.
  • Computer skills required:
  • Expert level Microsoft Office Suite (Word, Excel PowerPoint, Outlook) user.
  • Familiarity with project management software and other relevant tools.
  • Technology savvy on different platforms.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, with keen attention to detail.
  • Ability to work independently and as part of a team, demonstrating initiative and problem-solving abilities.
  • High level of emotional intelligence and interpersonal skills, with the ability to build and maintain positive relationships.
  • Flexibility and adaptability to handle changing priorities and deadlines.
  • Demonstrated ability to manage multiple projects simultaneously and meet tight deadlines.
  • Experience in preparing and managing financial reporting.
  • Strong research skills and the ability to gather and synthesize information from various sources.
  • Experience in event planning and coordination, including logistics and vendor management.
  • Knowledge of office management systems and procedures.
  • Ability to anticipate the needs of executives and proactively address them.
  • Self-awareness and the initiative to grow as a professional.
