Job Description

Convention and Events Manager

The Convention & Events Manager is responsible for the full planning, management, and execution of an organization?s annual convention and year-round member events. This role ensures the delivery of exceptional experiences for members, sponsors, exhibitors, and guests by overseeing logistics, vendor relationships, budgeting, timelines, and on-site operations.


The ideal candidate will have proven, hands-on experience coordinating large-scale consumer trade shows, including direct work with exhibitors and vendors. Familiarity with CRM and AMS platforms including registration management, data tracking, and report generation is essential.


This role reports to the Executive Director and requires strong leadership, strategic thinking, and a results-oriented approach to event planning.



Primary Responsibilities

  • Lead full planning and execution of a multi-day consumer convention
  • Manage exhibitor relationships, booth assignments, layouts, and communications
  • Coordinate logistics with all venue contacts, AV providers, caterers, security, and service vendors
  • Oversee registration, signage, materials, invoicing, and post-event reporting
  • Organize banquets, auctions, speaker lineups, and entertainment in coordination with internal stakeholders
  • Maintain accurate and up-to-date exhibitor and sponsor databases
  • Track performance metrics to ensure strategic objectives are achieved
  • Plan and execute member-focused events such as luncheons, networking mixers, and seminars
  • Handle all event logistics, including staffing, F&B, registration, and on-site execution
  • Collaborate with volunteers and internal teams to support member engagement goals
  • Monitor and analyze participation data to enhance future events
  • Assist with event budgeting and monitor expenses
  • Negotiate vendor contracts to ensure quality and cost-efficiency
  • Oversee vendor performance and deliverables
  • Maintain detailed event timelines and schedules
  • Provide oversight to ensure flawless execution and staff coordination
  • Identify areas for improvement and implement more efficient processes
  • Administer and update CRM/AMS systems for conventions and events
  • Utilize third-party event management tools (e.g., A2Z, SignUpGenius)
  • Ensure clean, accurate data across all stakeholder groups (exhibitors, sponsors, attendees)
  • Create registration forms, reports, and documentation within these systems
  • Partner with marketing personnel to deliver timely and accurate content for campaigns
  • Support development of signage, programs, and collateral
  • Coordinate outreach efforts for member and sponsor participation
  • Provide regular updates and comprehensive post-event reports
  • Track key performance indicators, including attendance, revenue, and feedback



Qualifications

  • Bachelor?s degree preferred (event management, hospitality, or related field)
  • Minimum of 5 years? experience planning and managing large-scale consumer trade shows and events
  • Certified in Exhibition Management (CEM)
  • Certificate in Meeting Management (CMM)
  • Strong track record working directly with exhibitors and vendors
  • Hands-on experience with CRM/AMS platforms and event software (e.g., Personify, A2Z, SignUpGenius)
  • Proficient in Microsoft Office and Google Workspace
  • Excellent communication, problem-solving, and leadership skills
  • Detail-oriented with the ability to manage multiple deadlines and priorities
  • Ability to lift up to 40 lbs. and work extended hours during events
  • Professional, dependable, and team-oriented
