Job Description

The Administrative Specialist – Investor Relations plays a critical role in managing and enhancing investor relations activities, ensuring regulatory compliance, and supporting strategic decision-making. This position requires a high level of discretion, independent judgment, and problem-solving in investor communication, compliance, and event coordination. The ideal candidate will be proactive, detail-oriented, and able to make decisions that impact investor engagement and corporate objectives.

ADMINISTRATIVE SPECIALIST RESPONSIBILITIES:

Investor Communication & Relations:

• Develop, manage, and execute investor communications, including reports, presentations, and regulatory filings.

• Handle investor inquiries with independent judgment, providing strategic guidance based on investor needs and corporate policies.

• Proactively identify investor concerns and develop appropriate responses to maintain positive investor relationships.

Strategic Event & Stakeholder Management:

• Oversee the planning and execution of investor meetings, conferences, and corporate events, ensuring alignment with corporate strategy.

• Independently negotiate contracts with vendors and manage event budgets.

• Maintain detailed records of investor interactions to support strategic decision-making.

Data Management & Reporting:

• Oversee the accuracy and integrity of investor databases, ensuring compliance with data protection regulations.

• Prepare and analyze investor reports, including financial performance summaries and market trend insights, to support executive decision-making.

Regulatory Compliance & Policy Adherence:

• Ensure investor communications and reports comply with SEC regulations and company policies.

• Assist in the development of internal policies and procedures for investor relations, exercising discretion in compliance-related matters.

• Collaborate with legal and finance teams to support due diligence and risk management efforts.

Operational & Administrative Oversight:

• Manage scheduling, travel, and strategic planning for the Investor Relations team.

• Oversee expense reporting and investor relations budgets, making executive-level recommendations on cost optimization.

• Develop and implement process improvements for investor relations operations.

EDUCATION, EXPERIENCE AND OTHER QUALIFICATIONS:

• Bachelor’s degree required (preferred in Finance, Business, Communications, or related field).

• 5+ years of experience in investor relations, financial services, or corporate communications.

• Strong understanding of financial markets, investment strategies, and regulatory frameworks.

• Proven ability to exercise independent judgment and decision-making authority in investor relations.

• Expertise in Microsoft Office Suite and investor relations platforms (e.g., Juniper Square, HubSpot).

• Strong analytical, communication, and project management skills.
